For South African Law Firms

A Matter Should Not Be Retyped Four Times Before Anyone Bills For It

An enquiry arrives, someone copies it into the matter list, someone else copies it into the billing system, and the documents live in a folder only one person understands. I connect those so the information moves once. A website is sometimes part of that. Often it is not the problem.

  • We start by mapping how your matters actually move.
  • Your firm owns the systems, the data and the domain.
  • POPIA-aware handling, with an operator agreement.
The Gap

Where A Matter Actually Gets Lost

Not in build fees. In matters that went to the firm whose site answered first.

The enquiry arrives, and stops

Someone who has just been in an accident, been arrested, or been served is not at a desk. They are on a phone, and if the site pinches to zoom or the number is not tappable, they are back in the search results inside ten seconds.

It gets retyped into the matter list

A generic "message" box tells you nothing. No matter type, no dates, no urgency. Someone has to phone back to find out whether it is even work the firm takes, and half of those calls are never returned.

And retyped again into billing

Scales of justice, a gavel, a stock photo of a handshake, navy and gold. Every competing firm on the first page of results looks identical, so the choice comes down to whoever appears first.

The documents live in one person's head

The person who built it has moved on, the hosting renews to a card nobody recognises, and a new associate's name sits unlisted for eight months because changing it is somebody's Saturday.

What We Connect

Intake, CRM, Billing, Documents

Everything below is included at one monthly price. There is no build fee and no separate hosting bill.

Intake that routes by matter type

The visitor picks what kind of matter it is (RAF, divorce, a labour dispute, a transfer) and gets two or three questions written for that specific matter. An RAF claimant is asked the accident date and whether they were driver or passenger. A divorce enquiry is not. You get a structured enquiry, not "please call me".

One record per matter, not four

Built to load in about a second on mobile data, with the number tappable from every screen. It also works with JavaScript disabled, which matters more than it sounds: corporate and government networks still block scripts, and that is exactly who is enquiring about a commercial matter from an office.

Enquiries land structured, not as prose

Subject line carries the matter type and the client's name, so it can be triaged from a phone screen without opening it. Attach it to a file, forward it to the right director, done.

Billing that starts from the matter record

Admissions, qualifications, and what each person actually practises. Written properly, because the partner page is the second thing a prospective client reads and the first thing a referring attorney does.

Documents filed against the matter automatically

Each one written for the person searching for that specific problem. This is also what makes the firm findable for "RAF attorney Cape Town" rather than only for its own name.

A website, when that is genuinely the gap

No gavels, no columns, no scales, no navy-and-gold. Restrained typography and generous space, which is what "established and expensive" actually looks like in 2026.

Client Data

Where Enquiries Go, And Who Can See Them

You are the responsible party. I am an operator. Here is exactly what that means in practice.

How It Works

Map It First. Then Connect It.

No firm needs another system bolted on beside the four it already has. The first job is working out which of those four are actually load bearing.

01

We follow one matter end to end

From the first enquiry to the final invoice. Who touches it, what they retype, which system holds the authoritative version, and where it sits waiting.

You get: a written map of how matters really move through the practice.

02

We connect what the firm already pays for

Most practices already have a practice management system, an accounting package and a document store. The problem is almost always the joins between them, and the joins are usually a person.

You get: information entered once, visible everywhere it is needed.

03

We build the piece that is missing

Sometimes that is structured intake on the website. Sometimes an internal tool for conflict checks or matter status. Sometimes nothing, because the fix was switching off the spreadsheet nobody trusted.

You get: the specific thing the map pointed at.

Client data stays in the firm's control throughout, under an operator agreement. See below.

FAQ

The Questions Partners Actually Ask

The firm does. It is registered in the firm's name, with the firm as registrant, and the renewal is paid by the firm. I manage the technical side (DNS, renewals, email records) while you are subscribed. If you leave, you change nothing and lose nothing: the domain is already yours and I simply hand over access.

You approve every word before it goes live, and nothing is published without your sign-off. I do not write success rates, outcome claims, comparative statements about other firms, or anything resembling touting. Where I am unsure whether a line sits comfortably with the Code of Conduct, I flag it and you decide. You are the one admitted, not me.

Enquiries are delivered to an inbox you nominate. I do not keep a copy and there is no database of your prospective clients sitting on my side. You are the responsible party and I am an operator, so you get a written operator agreement under section 21 before the site goes live. The site itself carries a plain-language privacy notice naming your Information Officer.

It is worth being deliberate about, which is why the intake questions are scoped to what you need for conflict-checking and triage (matter type, rough dates, whether there is a deadline) rather than inviting someone to write out the full facts of their case to a firm that has not yet accepted the instruction. The form also says, in plain words, that sending it does not create an attorney-client relationship. If you want that wording changed, it is your call and I will use yours.

Less than you would expect. The mapping exercise stands on its own and you can stop there. Anything we build after that is scoped and agreed before it starts, with no minimum term and no cancellation penalty. Thirty days' written notice, and you take the systems, the data and the domain with you.

Fair question and I would ask it too. The domain is in your name so nobody can hold it. The site is plain HTML on standard hosting, not a proprietary system, so any competent developer can pick it up. On request I will put the code in a repository your firm controls, so the firm has it whatever happens to me.

I do, from your existing material: your current site, your profiles, your LinkedIn, whatever you have. You review and correct it. Expect to spend about an hour of a partner's time on the whole project, most of it checking that the practice area descriptions are accurate. Nothing goes live unreviewed.

Content changes come through me and they are included, not billed per change. A new associate, a fee update, a new practice area, a changed address. Email it and it is usually done the same working day. That is deliberate: a site nobody can break is worth more to a firm than a login nobody remembers.

Untouched. Your email keeps working exactly as it does now. I carry the existing mail records across when the domain moves, so nothing stops arriving. If you are on something ageing and want to move to Microsoft 365 or Google Workspace, I can help with that separately, but it is not required and not bundled.

If you have seen a demo, most of the build already exists. From your go-ahead it is usually five to ten working days to live, and the bottleneck is nearly always waiting for the firm to approve copy and send photographs, not the build.

Then we do not use photographs. The layout is designed to work on typography alone and it is not a compromise version. Roughly half the sites I build have no photography at all and they are not the weaker ones. If you would rather have portraits later, they drop in without a redesign.

No, you did not, and I would rather be straight about it: I build the site first and send it, instead of sending a proposal asking you to imagine one. It is unindexed, nobody else can find it, and if you are not interested I delete it. It uses only information already public on your current site and the LPC roll.
